What QMS7 Is
QMS7 is ERIN Technology’s quartermaster and asset-tracking platform, purpose-built for law enforcement agencies, correctional facilities, and digital forensics units. It handles both digital records and physical equipment, so the same system that tracks a laptop or a body camera also tracks who signed for it, when it’s due back, and its condition upon return.
This isn’t a light refresh of the original QMS. It’s a full rebuild, with a modern web interface, a completely custom data model, and a much wider set of tools than the product it replaces. If you used the earlier QMS, some of what’s below will look familiar. Much of it will not.
Built for the Way Your Agency Actually Works
No two agencies organize gear the same way, and QMS7 doesn’t force you to change how you work. Administrators can add new fields to any screen, rename existing ones, and decide which fields show up and in what order — all without waiting on a developer. If your department calls it “Uniforms” and the agency next door calls it “Issued Equipment,” QMS7 can be set up to match either one. Screens, modules, and even button labels can be renamed to match your agency’s terms (Admin – Module Settings; Admin – Custom Fields).
Categories and subcategories work the same way. Ammunition, body armor, radios, vehicles — set up the structure that matches how your armory or supply room is actually organized, then assign specific staff to manage specific categories if that’s how your agency divides responsibility.
From Login to Audit: A Tour of What’s Inside
The Dashboard
The Dashboard is the first thing you see after logging in. It shows what needs attention right now — overdue returns, overdue inspections, and a live feed of recent activity — so supervisors don’t have to dig for problems.
Assets
Assets is where equipment lives. Standard items, consumables, and bulk stock are all supported, each with its own detail screen covering maintenance history, disposal records, custody (who has it now and who’s had it before), inspection results, file attachments, and a full activity log. Every asset can carry the custom fields your agency needs, organized by category.
Employees
Employees work the same way in reverse — pull up an officer’s record and see every item currently assigned to them, their full assignment history, their training record, and any documents on file. Issuing or returning gear can be done right from the employee’s screen, which is often faster than starting from the asset side.
Assigning and Returning Equipment
Assigning and returning equipment is built around real accountability. Every checkout and return can capture a signature, and every completed transaction produces a signed receipt. An Overdue Returns queue shows exactly what’s late and who has it, so nothing quietly disappears.
Kits
Kits let you group multiple items — a patrol bag, a traffic stop kit, a forensics field kit — into one unit that can be issued and returned as a single transaction, built from a reusable template.
Scan Station
Scan Station and the global scan bar, available from any screen once you’re logged in, mean a barcode or QR code is often all it takes to pull up an asset or resolve a transaction. That matters most during a fast-moving shift change or a large inventory count.
Checks and Inspections
Checks and Inspections replace the paper clipboard. Set up inspection definitions — recurring, on-demand, tied to checkout, or tied to return — and QMS7 tracks what’s due, flags what’s overdue, and keeps a full history of every completed check, with pass/fail results recorded for each item.
Purchase Orders
Purchase Orders cover procurement from request to receiving, including partial receipts when a shipment doesn’t arrive all at once, attachments for supporting paperwork, and PDF export for your records.
New Ground: Training, Uniform Allowances, and Smart Lockers
QMS7 goes beyond what the original QMS ever covered.
Training and Compliance
Training and Compliance offers a course catalog, scheduled sessions, and a quick QR code check-in for attendance — scan in, and the system records it. Training assignments track who’s required to take what, and each employee’s training tab shows their full record in one place.
Uniform Allowance
Uniform Allowance manages per-employee equipment budgets — allowance plans by fiscal year, an append-only ledger for every transaction, and configurable overspend rules so an agency can choose whether an over-budget purchase is blocked, flagged with a warning, or allowed only with a supervisor’s authorization. A dashboard shows the whole picture at a glance, down to the individual officer.
Smart Lockers
Smart Lockers connect QMS7 to badge-activated locker hardware, so an officer can check equipment in or out at a locker bank without counter staff, and the transaction still produces the same signed record and audit trail as a counter checkout.
Every Action, Accounted For
Accountability isn’t an add-on in QMS7 — it’s built into the foundation. A system-wide Audit Log records every action across every module: what happened, who did it, when, and how — whether it came from an inventory count, a scan, a kiosk, or a locker. Role-based permissions control exactly what each user type can see and do, and division-level access means staff only see the records that belong to their own division unless they’re specifically granted broader access. For agencies where different units or facilities share a single system but need to remain separate, that boundary is enforced automatically, not just by convention.
Reporting draws on all of this. QMS7’s report builder works across every major module, with configurable filters and PDF export, so pulling together what an auditor needs takes minutes instead of a week of cross-referencing spreadsheets.
QMS7 is also built with the standards your agency has to meet in mind — including CJIS, FIPS, and Azure Government requirements — because a system that handles evidence-adjacent equipment and personnel records has to be trustworthy by design, not as an afterthought.
